Getting Whitley County Court Records
The Whitley County Clerk, formally the Clerk of the Circuit Court, keeps the records for both Whitley Circuit Court and Whitley Superior Court. Begin with Indiana MyCase. It gives free public case information, CCS events, and many public documents. It is not a full archive. When an image is missing, use the Clerk's public computer, stop at the second-floor counter, call, mail a focused request, or ask the Files Department about historical material. A formal request under Indiana access rules remains an option when an ordinary search falls short.
The judge runs the proceeding. The Clerk keeps the record. Knowing that distinction saves time. A phone call can confirm where a file sits and what a request requires, but the county does not promise delivery of records by phone or email. Fax works only for certain non-fee filings and is no substitute for a copy service.
- Search MyCase and copy the exact 92C01 or 92D01 cause number.
- Name the filing, order, CCS entry, or event date needed.
- Choose online viewing, the public computer, counter service, mail, or Files Department access.
- Tell the Clerk whether a plain copy, certified copy, or CCS is required.
- Confirm payment, identification, delivery, and timing before sending the request.
Whitley Public Computer Searches
The public computer in the Clerk's Office is a solid Whitley County court record fallback. County staff are clear on one point: you perform the search yourself. It is not a staffed research service. Bring a party name. Bring a case number, a court code, and a narrow date range. Those details speed the search and keep you off a similarly titled case.
Online court forms can help you spot the right type of filing. The Indiana Judicial Branch forms library shows the state's document categories in plain view.

A forms screen adds context. It still cannot replace the filed, stamped copy held in the Whitley County court file itself.
Whitley County Court Record Types
Trial Rule 77 separates the record into layers. The CCS is a sequential event log. The case file holds pleadings and related papers. Judgment and execution dockets track judgments and enforcement, while the Record of Judgments and Orders preserves court rulings, and indexes help you locate all of it. MyCase might show only an event title, a linked PDF, or no image at all.
A Whitley County case file can hold complaints, petitions, answers, motions, affidavits, summonses, returns of service, plea agreements, sentencing orders, judgments, garnishments, transcripts, exhibits, and appeal papers. Access depends on the document. A docket entry proving a paper exists does not guarantee the paper is open online.
- Chronological Case Summary and case events
- Filed pleadings, motions, service papers, and orders
- Judgment, execution, and RJO records
- Civil, criminal, family, probate, and small-claims files
- Indexes and historical case packets
Whitley Historical Court Record Files
Older Whitley County court records often sit outside a normal MyCase search. The county lists Circuit civil order books from 1853 through 1960. Dissolution material runs from 1874 through 1989. Circuit felony records span 1953 through 2003. Superior felony records run through 1997, and Superior misdemeanor material through 2009. Historical estates, guardianships, marriages, probate records, and common-pleas indexes are held too.
The Files Department reports even older indexed packets. These include Circuit civil files from 1838 to 1873 and criminal packets from 1839 to 1873. So a missing online result does not prove a record is gone. Call 260-248-3143 about a File Management Request Form and appointment needs. The Files Department sits at 220 W. Van Buren Street. It keeps limited morning hours. The Indiana Archives clerk directory helps route county archive research.

That state directory supports the local chain. Even so, the Whitley Files Department stays the first place to ask about its listed holdings.
Inside a Whitley County Court Record
A cause number tells you which Whitley court owns the record. The code 92C01-2210-MI-884 points to county 92, Circuit Court C01, a date segment, the MI case type, and a sequence number. Superior Court records use 92D01. Copy the format exactly, because one stray character can lead to a different file.
| Cause number | Whitley court code, date segment, case type, and sequence |
|---|---|
| CCS | Sequential entries for filings, fees, settings, orders, and court action |
| Pleadings | Complaints, petitions, answers, motions, affidavits, and service papers |
| Orders and judgments | Signed rulings, dispositions, sentences, and enforceable judgments |
| Other material | Transcripts, exhibits, garnishments, and appellate filings when part of the public file |
The date beside a CCS notation is the notation date. It may differ from the event date. Read the entry and any linked order together, since later orders can alter earlier settings or rulings.
Whitley Clerk Custodian Duties
The current court directory lists Cindy Doolittle as the Whitley County Clerk. Her office accepts filings for both county trial courts. It also maintains the CCS, case files, indexes, judgment records, and order records. Because the structure is unified, a searcher does not need separate criminal and civil clerk agencies. The State Board of Accounts maintains a Clerk of the Circuit Court resource library. It describes that official role.

The statewide description matches the Whitley workflow. File and request records through the Clerk unless a court rule directs otherwise.
Fees and Certified Copies
A plain copy reproduces the requested page. Certification adds the Clerk's official confirmation that the copy matches the court record. A free MyCase screen is not a certified copy, so ask the recipient which form is needed before you pay for certification.
| Whitley County item | Published amount |
|---|---|
| Plain copy | $1.00 per page |
| Certification | $3.00 |
| Chronological Case Summary | $1.00 |
Whitley County posts no separate price for exemplification, online images, or searches. No standard turnaround applies to copy work. Payments for court costs and fines can run through cash, money order, or credit card. Not every method fits every copy order, though. Ask the Clerk which payment to use before sending a request.

Whitley Transcript Copy Rates
A transcript is not an ordinary Clerk copy. A court reporter prepares it, and its fees follow their own track. Whitley local rule LR92-AR15-6 sets the numbers. An indigent transcript runs $6.50 per page, and an indigent copy costs $1 per page. Want it fast? An approved expedited transcript finished within ten working days runs at least $9 per page. Confirm the figures before ordering. The local rule, urgency, and requester status control what applies.
Treat a transcript request as its own task. It is not a routine page pull from the case file. Gather the hearing date and the court. Add the cause number and the portion of the proceeding you need. Then ask which court reporter handles it. That route is separate from requesting a CCS or a filed order.
Sealed Records and Public Access
Indiana starts from open access to court records. Still, the rule has limits. Medical, mental-health, substance-treatment, juvenile, and probation material may be excluded, along with certain victim or witness information. An entire case can be confidential or sealed too. When part of a record is withheld, a public notation may stay on the docket without revealing the protected content.
Indiana access rules:
Access to Court Records Rule 4 creates the presumption of access and addresses public indications of exclusions.
Access to Court Records Rule 5 identifies confidential cases, documents, and personal information.
Indiana Code Title 5, including IC 5-14-3, supplies the wider public-record request framework.
The official Rule 4 page is the source for Indiana's access presumption.

The access rule covers paper, scanned, electronic, and any other form of a record. Rule 5 and court orders still shield excluded material from release.
Mailing Whitley Court Record Requests
A mailed request works when the clerk can match it to one file without guesswork. Send it to the Whitley County Clerk. The address is 101 W. Van Buren St., Room 18, Columbia City, IN 46725. Say whether the case sits in Circuit Court or Superior Court. Include the full cause number, a party name, and the document title or CCS event date. Also state plain or certified form, a return address, and a phone number.
Call before mailing any money. The county publishes no universal mail-copy form and no accepted payment list for every copy request. There is no fixed completion period either. Staff can tell you whether the file remains at the current counter. It may instead have moved to the Files Department. If a record is withheld from ordinary public access, name the item precisely. Ask which Indiana Access to Court Records Rule or statute applies. Even where protected content cannot be released, a public indication of the exclusion may still appear.
